In Malaysia, there are various of jobs offered by the company’s to the jobseekers, but we as the people cannot organize all the job and that is the reason why there is a specialization in every job. As for me, I am currently pursuing my educations in the business path, which means my knowledge is towards the business area such as economics and accounting. Honestly I am more towards the accounting approach because I love everything about it and it has very important role in life.

For my fifth semester, my university prepared the whole semester to be the internship period for my batch and I only realized how eager I am to start my internship during my third semester. As the fifth semester approaching, the students are required to search for their job places to complete the internships. Although I am very eager to start my internship, I am one of the students that search for their internship places last minute. Through the Ramadhan’s month, I am occupying myself searching for internships place. Suddenly after half of the month finished, I received a called from Taylor’s University Student Career Centre and the person spoke to me was Mr. Khairul. He is actually has been trying to contact me long ago about the internship placement but he cannot reach me. The purpose he trying to reach me is to ask for my permission to send my resume to a company, HSBC Bank and I told him I gave him the permission because I am actually look forward to do my internship in a bank. As days past and I have attended the interview at HSBC Bank, now I am waiting for the result from the company but as I am waiting for the result, Mr. Khairul contacted me again and he said there is an internship opportunities in a company called Hanson Quarry Products Sdn. Bhd. and that were during my final weeks of semester holiday before the fifth semester start that is in 18th August 2015. I accepted the offer from Hanson although at that time I am not clear what is the company really do and after a few days I accepted the offer from Hanson, I received a call from HSBC and they accepted me as well, but I were told by Mr. Khairul from the universities that it is not good to reject an offer that I have accepted earlier from Hanson. So I rejected the offer from HSBC and I have made my selection to go with Hanson.

Workshops and Training

Before our internship starts, during the fourth semester there were a several of workshops that was prepared for the students. The purpose of these workshops is to open the students mind in what to do during the internship period. For me, it was a good workshop because I received a lot of information from it so that I can prepare myself in the working life situation. During the workshops, they also demonstrate the proper way to attend an interview and I take that seriously because it can also be used for my future purpose and not only for the internship. On the 18th August 2015, my internship period started and in the first week I were given a training on how to do the jobs in my department. At first I were quite slow but as days passed by, I can catch up with all of the work that were given to me and it was a huge achievement for myself because I have faced all of the big challenges by myself.

About my Department
-
The name of my department is Distribution Department. In the department, there is three roles in total that is ticketer, preplanner and agent. Each of them have a different job description and my role is to be an agent. The department is responsible in making the plan for the whole day to deliver the available trucks at the plant. Besides that, the department need to make sure all the trucks that are being delivered to the customer reach their sites on time and if the department did not guard that thing, it will make the whole company in trouble for example the income of the company can drop because customer may run away and go to other competitors. Lastly, my department is responsible in keeping the orders sufficient or in other words is to keep the total orders quantity enough for the day. There is a limit for the total quantity in a day. There should cannot be too less or too more order for a day because if there is too less of order, other department such as Sales Department will come to my department and ask why there is no or less order for the day and if there is too much order, we may cannot supply the products to the customers. In conclusion, as my period doing internship in the department, I rarely saw all the problems come to us as the team in my department overcome all the problems efficiently.

My Roles and Resposibilities

Job Description
-
My responsibilities in the department is to be an agent. As an agent, I am responsible in receiving and answer any calls from customer. I need to assist the customer in confirming their orders because this is one of the way to keep the customer in our hand or else they will go to other competitors. Besides that, the agents also have to update the customer that has confirm their order earlier on what is currently happening to the order if the customer called in. I am required to login any order that comes from the fax machine because it is one of the important thing in the department and the agents are required to check the fax machine every one hour so that there will be no fax item missing or go to other places for example go to other department. Besides that, the agents need to update the truck status every 30 minutes, 60 minutes and 90 minutes so that we can know what is really happening to the trucks and to keep the trucks in good condition for the whole time because if the trucks is on site for more than two hours, the concrete in the truck may get hard and this can happen if the site having a problem such as their machine broke down or site is discharging the concrete slow than usual. The agents will need to call the truck and ask for information regarding any problems that is happening to the site. Lastly, the agents are required to plan for technician for the next day and this is usually dedicated to one person.

Reporting Line

My reporting line are towards my supervisor in the department. If there is any problems regarding the job in the department, I need to ask any help or tips from my supervisor for example I ask my supervisor on how to login order from a faxed purchase order. Besides that, if I want to ask for off day, I need to report about it to my supervisor and she will take care of it.

Relating the Experiences with Learning
-
I would relating all the things that I’ve learnt with my internship experiences is by I’ve successfully managed to plan and control all the things that come to me for example I can now use the system in my department well. From what I see, we just need to corporate with the company so that there will be no lack in any area. It is definitely a two different world within learning and doing a job because if we are learning, for example I am free to do anything anytime although there is a class different from working, I will have to kept the discipline to the max level especially in terms of time management because I am working with a company unless I have my own businesses.

Observations

From what I observe during my internship period at Hanson. I saw all the workers dress up nicely because it can actually show the company image outside of the office for instance if the company workers wore only a casual shirt with a jeans what will other people from other company would say and see. They also do all the jobs given efficiently as in my department, they do all the work without any excuse and reason. My supervisor also really helped me a lot in surviving my internship period because she kept assist me on what I am doing.

Key Learning

During my internship I set out to learn self-discipline and efficiency because I've always been a big procrastinator. The company expected me to learn how to adapt to the office environment through dress, speech, and behavior. Their main goal was to have me work on the company system, but it's such a long process that it was hard to incorporate me in such a short amount of time but I’ve managed to overcome it. I was introduced to the company system called FIND and HALOS and how each department of the company contributed towards it. Although I was able to enhance my oral and written communication both inside and outside of the office. I learned appropriate ways to address fellow office mates and how professional emails are laid out. My work ethic has been greatly affected from my time in the office. When I was given tasks, whether it was a day to day scheduled task or a one time job, I would complete them swiftly with ease without question. When it comes to work I've learned to be a machine in efficiency.

Key Achievements

I got a lot of work experience from this internship that I don't think I could have learned as well anywhere else. While at the Distribution Department office I was able to learn the simple, basic tasks that can be applied to any job or work space. I learned the proper way to effectively use the copy and fax machine. Besides that, I am now more exposed to the working world on how to operate all the jobs given and do all the tasks given to me. One of the important thing that I really proud to myself is that I’ve managed to complete my internship without any big problems that were pass to me. These skills will come in handy in every work environment.

Challenges Faced

There is actually many challenges that I have managed to overcome successfully for instance I have a new lifestyle because I am currently a university student, I may be getting used to a new life style that can be quite jarring. Instead of waking up at 12:00 pm and going to a few classes a day, I am sitting at a desk from 9:00 am – 5:00 pm. I might be living at my parents to save money. The hours and the new living situation clearly make socializing more difficult than before. Besides that, my supervisor sometimes forget that I am new to the field. My supervisor gives me a task, but the directions don't quite make sense to me sometimes, and I am having trouble seeing the bigger picture of it. This will lead to the next challenges that is I sometimes afraid to ask questions from my supervisor as sometimes I saw her mood is not following the good path. Lastly, my supervisor often told me not to be so serious in the office because she always saw my face reaction so serious in doing anything in the office and I am actually not that serious as what my supervisor saw me. That is just me doing the work that were given to me and that is my genuine expression.

I am actually more towards the accounting side but as for my internship purpose, I am allowing myself to do the jobs given to me although it has no relationship with accounting at all as this internship I see it as to search for new and more experience for my future purpose. My career plans is to finish my diploma and hoped by this last semester that is going to start end of this year be my last semester and not have any fails in this last semester. Then I will continue my studies to do my degree and then stop studying and start to search for jobs and I am hoping there will be a company to accept me working in their company.

To sharpen my working skills I will get a feedback from another person for instance doing survey or having a serious of one-to-one conversation with other people so that it can help me build relationships with key people while learning more about my reputation and how I can improve it. Following, I may become a mentor or coach to someone so that I can develop my coaching skills with someone who is not a direct report, but who can benefit from my skills or experience or connections or perspective. Often someone who represents a different “generation” can give me a new perspective too. Lastly, I will develop and deliver a presentation to a new audience. Again, this can be to another function or department or even to an external group. A great way to better understand that group, to improve my presentation skills, and to practice being a spokesperson for my company or profession or function.
